In this review
I moved both businesses onto Xero eighteen months ago after two years of a spreadsheet and a growing sense of dread every January. The specific thing I wanted was for bank reconciliation to stop being a task I avoided. That is the thing Xero does better than anything else I have paid for, and it is most of why the rating is where it is.
What the first week actually looked like
Setup took an afternoon, and the afternoon was almost entirely bank feeds. Connecting the business current account took four minutes. Connecting the card account took two support tickets and nine days, because the feed provider had changed and nobody at either end says so on the setup screen. This is the single biggest variable in whether Xero is good for you, and no review can answer it on your behalf: check that your specific bank and card accounts have working direct feeds before you pay for anything.
Once the feeds landed, the daily job became genuinely small. Xero learns your recurring transactions, suggests a match, and you confirm. My monthly reconciliation went from about three hours of spreadsheet archaeology to roughly twenty minutes.
The thing that made it stick
Bank rules. You write a rule once — “any payment to this supplier under £200 is software expense, VAT at standard rate” — and it applies forever. After a month of use I had fourteen rules and about 80% of transactions were pre-coded before I looked at them.
The measure of accounting software is not what it can do. It is how much of the month it silently handles while you are doing something else.
The second thing: my accountant already knew it. She has a Xero login, she goes in at quarter end, and I stopped being the transport layer between my bank statements and her inbox. That saved more billed hours than the subscription costs.
Where it is genuinely weak
Inventory is an afterthought. It tracks items and quantities, and it will not do landed costs, variants, or anything resembling a real stock system. If you sell physical products at any volume you will end up bolting on a second tool, and at that point the maths changes.
Reporting is rigid until you learn it. The stock reports are fine. Anything custom means learning the report builder, which is a slower and less obvious tool than the rest of the product. I lost most of an evening building a cash-flow view that I could have had in a spreadsheet in ten minutes.
The pricing tiers are aimed at your growth, not your usage. The entry plan’s invoice cap is low enough that most businesses with recurring revenue will be pushed up a tier within a year. Budget for the middle plan, not the headline price.
Support
Email only, no phone. Responses came back in under a day both times I needed them, and the second one — a VAT return that would not file — was answered by someone who clearly understood the underlying tax rules rather than reading a script. Fine. Not remarkable, not a problem.
The verdict after eighteen months
I have not thought about my accounting software in four months, which is the highest compliment I can pay it. It costs me twenty minutes a month and my accountant charges me less than she used to.
The half point comes off for inventory and for the bank feed lottery. If your bank feed does not work, Xero degrades into manual CSV imports, and at that point it is an expensive way to do the thing you were already doing badly.
Hands-on with Xero

Questions people actually ask me
- Is Xero worth it over a spreadsheet for a one-person business?
- Once you are past roughly twenty transactions a month, yes. Below that a spreadsheet and an accountant at year end is cheaper and about as fast.
- Does the cheapest Xero plan actually work?
- The entry plan caps invoices and bills per month. For a service business billing a handful of clients it is fine; for anything with recurring monthly invoices you will hit the cap in the first quarter and be pushed up a tier.
- How bad is migrating off Xero?
- Painful. You can export contacts, invoices and the general ledger as CSV, but reconciliation history and attachments do not travel. Budget a weekend and expect your accountant to bill for the cleanup.
